Call dispatch
Call (410) 488-9200 and tell the coordinator it is a warranty callback. Have your facility name and the original service ticket number if you have it.
If a part we replaced fails within 90 days, we return and fix it for free — parts and labor included. No fine print, no labor charges, no "diagnostic fees" on a warranty callback. Here is exactly what is covered, what is not, and how a warranty claim works.
Every repair performed by a Vending Route Hub technician carries a 90-day warranty on both the replacement part and the labor that installed it.
If a warrantied part fails, the return visit and labor are free. You do not pay a diagnostic fee, a trip charge, or a callback fee — those do not exist in our warranty.
Warranty callbacks are treated as priority dispatches. Our target is to have a technician on site within 48 hours of a claim, and often within 24.
All plans include a 90-day warranty on repairs we perform. The difference is which parts are covered at no cost during a scheduled visit versus billed at cost plus labor.
Warranty callbacks are priority dispatches. Call us first — do not wait for the next scheduled route visit.
Call (410) 488-9200 and tell the coordinator it is a warranty callback. Have your facility name and the original service ticket number if you have it.
We pull the original service ticket and confirm the part and labor are within the 90-day window. This takes under five minutes on the call.
A technician is scheduled within 48 hours. The visit is logged as a warranty callback at zero cost — no labor, no trip charge, no diagnostic fee.
The replacement part and labor are covered. The new repair resets the 90-day clock on the same component from the date of the callback visit.
Every warranty has exclusions. Ours are written here so there is no confusion later. These are the only reasons a warranty callback would be billed.
Physical damage from forced entry, deliberate vandalism, or misuse (like inserting non-standard coins or foreign objects) is not covered. Repairs are performed at standard rates.
Damage from power surges, brownouts, lightning strikes, or building electrical faults is not covered. We strongly recommend surge protection on all machines.
Damage from water intrusion, flooding, plumbing leaks, or condensation issues external to the machine is not covered. Physical site conditions are the facility's responsibility.
If a component we replaced is subsequently worked on by another vendor, our warranty on that component is void. This is standard across the industry.
Scratches, dents, faded graphics, and normal cosmetic aging are not covered. We can quote cosmetic restoration separately if you want machines looking new again.
Product, cups, lids, CO2 cartridges, water filters, and coffee grounds are not covered — these are operational supplies, not warranty items.
Damage caused by construction, renovation, painting, or moving equipment within the facility is not covered. We will quote repair at standard rates.
If a machine is moved to a different location without our knowledge, our warranty on prior repairs is suspended until we can re-inspect the machine in its new position.
Most vending machines ship with a manufacturer warranty of one to three years on major components. Managing those claims is tedious — you have to file paperwork, ship parts, and wait. We handle all of it.
When our shop technician refurbishes a machine — replacing compressors, rebuilding coin mechanisms, updating control boards — the refurbished unit ships with an extended warranty that goes well beyond the standard 90 days.
